Grade 8 EMS Term 2 Week 5: Cash Receipts Journal — Entering and Closing Off Transactions

Your Week Ahead

This week your Grade 8 learners get hands-on with the Cash Receipts Journal, one of the most important subsidiary journals in the CAPS bookkeeping sequence. The CRJ is where a business records every transaction in which cash comes in, whether that is cash sales, payments received from debtors, or any other cash receipt. Getting this right is foundational because every other journal learners will meet later builds on the same logic: source document, analysis columns, and a balanced close-off.

In the curriculum sequence, the CRJ follows learners’ earlier exposure to source documents and the accounting equation. They should be coming in with some familiarity with receipts as source documents, a basic understanding of what assets and equity are, and an awareness that cash transactions need to be recorded. If some learners are still shaky on reading a source document, it is worth spending five minutes at the start of Day 1 revisiting what information a receipt carries, because that is the raw material for every entry this week.

By the end of the week you want learners to be able to take a set of cash receipts, enter each one correctly across the appropriate columns of the CRJ, total those columns, and close off the journal neatly. It sounds like a lot for two lessons, but if you keep the examples realistic and the numbers manageable, most learners catch on quickly once they see the pattern repeat a few times.

This Week’s Lesson Plan

Day 1: Introduce the structure and purpose of the CRJ, identify the column headings, and work through entering a series of cash transactions using source documents as the basis for each entry.

Day 2: Consolidate entering transactions with a new set of examples, then guide learners through totalling the columns and closing off the CRJ correctly, checking that the journal balances.
